Guidelines for Chapters

The Eminent Speaker Program (ESP) is an initiative of ACM India for Professional Chapters, Student Chapters, and ACM India Institutional Partners. Under this program, ACM India Chapters can invite Eminent Speakers to visit their Chapter for a talk/tutorial. Here are the guidelines:

1. Chapters contact the speakers through the ACM India Chapters portal to take their consent for a session.
2. You can organize the session in either physical or virtual mode. In case it is virtual, you will need to arrange an online platform for the talk and inform the speaker of the details. 
3. In case it is physical, you need to book the tickets once ACM India approves the proposal. Normal permissible limit is up to INR 15,000 for a visit.
4. If the cost of travel is exceeding the permissible limits, ACM India may offer suitable suggestions.
5. ACM India will reimburse the intercity travel of the speaker after the event formalities are completed as indicated below in point 12.
6. The Host Chapter has to take care of the local transport and accommodation.
7. Each chapter can invite a maximum of 2 ESP speakers per financial year with partial funding from ACM (1 in Apr-Sep, additional 1 in Oct-Mar based on budget).
8. However, in the event where the ESP invite is either declined by the speaker or rejected by the ACM admin, the chapter is eligible to raise another ESP request.
9. In the event of de-chartering of a chapter before the date of the ESP talk at their campus, approval given to the chapter by ACM India for hosting the ESP talk shall remain null and void. The chapter should not proceed with hosting the ESP talk at their campus.
10. In case Chapters wish to invite additional speakers during the financial year with no cost implications to ACM India, they are free to do so.
11. ACM India expects that the Eminent Speaker gives at least two talks during his/her visit. The Host Chapter is expected to facilitate one more talk at a nearby Chapter.
12. Once the event is over, chapters are required to submit an event report with good photographs, and provide feedback via the ACM India Chapters portal within a week. If the report/feedback is not received within the stipulated time, future requests for talks may not be approved.
